ROLE SUMMARY
The Asia Pacific (APAC) Meetings, External Engagements, & Travel (MEET) Country Operations Manager will be responsible for end-to-end Meetings & Events processes travel operations and end-to-end processes across APAC.
This Manager will assist in implementing new strategies to standardize and streamline operations and compliance controls while also overseeing all regionally assigned transactions. The APAC MEET Operations Manager position will lead a team of MEET Analysts, MEET Senior Analysts, and MEET Team Leads and is responsible for demand management, quality of compliance controls, timeliness and accuracy of data that is produced by the analyst/senior analyst role, and all analyst managed transactions are to the highest compliance standards. The APAC MEET Operations Manager role will complete compliance checks for exceptions and certain thresholds and work through any transaction issues or escalations.
This Manager will demonstrate accountability and integrity in the face of challenges and respond to change with agility, optimism, and innovation. They will collaborate cross-functionally across the organization to help identify opportunities for continuous improvement that will allow the MEET organization to better serve its customers.
This role will be based in Dalian, China and manage 10-15 colleagues and work with regional operations and sourcing teams, and other COEs as appropriate. This role will also promote the growth and development of their team.This role will report to the APAC MEET Regional Lead.
Receive and assign all transactions coming into the MEET Service Center and perform detailed reviewal of MEET data submissions to ensure accuracy and compliance
Manage process execution and ensure business continuity
Support regional lead with budget management efforts for regional teams
Exhibit a deep knowledge of Pharma guidelines, local regulatory controls, and tax rules
Forecast anticipated volumes based on trends and business operations insights, and assist in implementing new strategy for how the MEET organization can respond to meet changing needs
Upholds prescribed strong key performance indicators and metrics to align with business stakeholders
Ensure audit readiness and uphold a zero-tolerance approach to compliance issues within the My Anti-Corruption Policies and Procedures (MAPP) process through process controls, training, and building a culture of compliance
Lead efforts to identify opportunities for continuous improvement related to MEET processes, including building efficiencies and effectiveness of the team in delivering faster and more accurately (aligning to North Star principles, wherever possible)
Evaluate metric reports including service level agreements, rejections, honoraria, open payments and necessary tax reporting to identify risk areas that would impact the business
Ensure all information by Analysts is properly documented in workflow systems and all analyst compliance activities are reviewed and certified
Ensure MAPP transactions are compliant with MAPP policy and follow accurate standard operating procedures and compliance / control documentation
Review and sign contracts and letters for MEET transactions
Maintain Power of Attorney for assigned markets for contract signing
Enforce KPIs (incl. service level agreements, standards) to define vendor accountability and ensure quality of MPA service
Lead MPA New Resource Orientation, Training, and assign in Cvent
Support ongoing MPA & Supplier performance management (incl. formal reviews as well as ongoing efforts to improve MPA performance
Manage process ownership, work definition, and standardization
Work with Legal and Compliance to gain approvals for any exceptions
Raise compliance questions / challenges to Process Lead and Center Lead of direction / controls
Responsible for business relationships with Country Leadership and Regional Leadership across 3-5 markets to provide a seamless end-to-end process
Support interactions with cross-functional control groups and stakeholders (i.e. business, commercial finance, corporate compliance, legal, and Corporate Audit, transparency) to ensure the operating model is delivering compliant and efficient MEET processes
Present to leadership and manage relationships with stakeholders across the region
Assist in designing governance mechanisms to ensure that detailed communications to the different functional groups are happening as appropriate
Responsible for hiring high performing talent and developing strong future leaders
Provide coaching and development for team members through structured process and tools including individual development plans and talent development

PREFERRED QUALIFICATIONS
Typical Years of Experience: 5+ years (3+ years with MBA / MS) of experience in management, compliance, and customer focused operations with significant volumes and risk (incl. audit and/or finance experience)
Minimum of bachelor's degree in Business, Finance, or a related discipline
Fluency in English and Japanese is a must additional languages preferred
Strong compliance experience and financial or audit controls background
Demonstrated diverse leadership experiences including: the ability to influence and collaborate with peers, develop and coach others, oversee and guide the work of other colleagues to achieve meaningful outcomes and create business impact in a fast-paced, dynamic environment
Comfort with ambiguity, anticipates changes, and influences direction of innovative operational strategies
Previous experience with pharmaceutical companies is preferred
Deep expertise and understanding of a large compliance related, customer facing operations team
Recognized as a leader who delivers strong financial and customer experience results
Experience with Foreign Corrupt Practices Act transactions preferred
